List each field, why it is needed and the people who may view, change or export it. Avoid using sensitive identity, financial or customer records as convenient examples.

Include services and copies

Record the hosting, email, support, analytics, payment and AI services involved. Include spreadsheets, backups and logs as well as the main database. Agree account ownership and what happens when a vendor changes.
